During an Appointment

Intake Process

Please abide by any location-specific regulations regarding client intake processes. You are encouraged to conduct a verbal intake before each session.

Intake processes and subject matter will differ depending on the type of treatment and provider, but in general, conducting an intake helps to inform the session, whether a physical therapy session or a spa massage. It is also essential for:

  • Establishing a rapport

  • Understanding the client's goals for this session

  • Learning about relevant injuries, medical conditions, or areas to avoid

  • Obtaining consent for working on sensitive areas

Clinical Documentation and SOAP Notes

If you are on an appointment covered by a patient’s insurance (typically medical massage or physical therapy), you will be prompted to enter clinical notes at the start and/or end of a session. Please refer to the article “Clinical Documentation & SOAP Notes” for more detailed information.

In-Home Appointment Best Practices

Once you’ve begun working with the client, do not use or otherwise get distracted by your phone, other than to enter clinical notes into the Provider App. Ideally, you should set your phone to silent or “do not disturb” mode while working with a client.

Even if Zeel texts while you’re in an appointment, you do not need to respond until you are finished with your appointment.

If performing a massage, try not to touch your phone after washing your hands, to avoid transmitting bacteria to the client.

Above all, always maintain focus on your client and be present and attentive for your entire session.
