Provider Guidelines: Intake, Documentation, and Best Practices
Intake Process
Follow all location-specific regulations regarding client intake.
A verbal intake before each session is encouraged.
Why Intake is Important
While intake procedures vary by treatment type (e.g., physical therapy vs. spa massage), they help to:
Establish rapport with the client.
Understand the client’s goals for the session.
Identify relevant injuries, medical conditions, or areas to avoid.
Obtain consent for working on sensitive areas.
Clinical Documentation & SOAP Notes
For insurance-covered appointments (e.g., medical massage, physical therapy), you will be prompted to enter clinical notes at the start and/or end of the session.
For detailed instructions, refer to “Clinical Documentation & SOAP Notes.”
In-Home Appointment Best Practices
Minimizing Distractions
Once the session begins, do not use your phone except to enter clinical notes in the Provider App.
Set your phone to silent or “Do Not Disturb” mode while working with a client.
If Zeel sends a text during your session, you do not need to respond until the appointment is complete.
Hygiene & Professionalism
If performing a massage, do not touch your phone after washing your hands to prevent bacteria transfer.
Above all, stay focused, present, and attentive for the entire session.
